1. About this notice

Linking Technology Pty Ltd (“Linking Technology”, “we”, “us” or “our”) respects your privacy and is committed to handling personal information responsibly.

This Privacy Notice explains how we collect, hold, use and disclose personal information when you use the Linking Technology website, contact us, make an enquiry or otherwise interact with us.

Where applicable, we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. Personal information we collect

The personal information we collect depends on how you interact with us.

When you submit an enquiry through our website, we may collect your name, work email address, organisation, role, market or country, the topic you wish to discuss, and any information you choose to include in your enquiry.

We may also process limited technical information associated with your use of the website for hosting, security, fraud prevention, rate limiting and analytics purposes.

We do not ask you to provide sensitive personal information through our general website enquiry form. Please avoid including sensitive information unless it is genuinely necessary for your enquiry.

3. How we collect information

We collect personal information primarily when you provide it directly to us, including when you complete the website contact form, correspond with us by email or otherwise communicate with us.

Some technical information is processed automatically when you use the website through our hosting, security and analytics infrastructure.

4. Why we use personal information

We use personal information to respond to enquiries, understand the context of potential business opportunities, communicate with prospective customers and partners, manage business relationships, operate and secure our website, maintain appropriate business records, improve our digital services, and meet applicable legal or regulatory obligations.

Submitting an enquiry does not automatically subscribe you to a marketing mailing list.

We may use information for another purpose where you have consented to that use or where the use is otherwise permitted by law.

5. Website analytics

We currently use Vercel Web Analytics to understand how visitors use our website and to measure selected website interactions.

Vercel Web Analytics is designed without analytics cookies and uses anonymised data for aggregated website statistics. Vercel states that its visitor identifier is generated using a hash and resets after 24 hours rather than being used to track a person across websites or over time.

Our website is configured so that custom analytics events contain only limited non-personal fields such as the type of enquiry, an internal error code or the location of a call-to-action. We do not intentionally send names, email addresses, organisations, enquiry text or other contact-form personal information to Vercel Web Analytics.

6. Security and rate limiting

We use technical safeguards intended to protect the website and reduce automated or abusive submissions.

Our current contact-form security includes rate limiting. The application uses a derived identifier for rate-limiting purposes rather than deliberately storing a visitor's raw IP address in our application logs.

No method of electronic transmission or storage is completely secure, but we take reasonable steps appropriate to the nature of the information we hold to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.

7. Service providers

We use specialist technology providers to operate the website and process enquiries on our behalf.

These currently include Vercel for website hosting and analytics, Neon for database services, Upstash for rate limiting and Resend for transactional email delivery.

We disclose information to service providers only to the extent reasonably necessary for them to provide the relevant service, subject to their applicable contractual, privacy and security arrangements.

8. Overseas processing

Some of our technology providers operate or process information outside Australia.

In particular, our email delivery provider, Resend, states that account data including email metadata, logs and API records is stored in the United States. Our current Resend sending configuration uses its Tokyo, Japan sending region.

Other technology providers and their subprocessors may operate infrastructure in multiple countries. Where the Australian Privacy Principles apply, we take reasonable steps in relation to overseas disclosures as required by applicable law.

9. How long we keep information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including responding to and managing enquiries, maintaining appropriate business records, establishing or managing business relationships, resolving disputes and meeting legal or regulatory requirements.

When information is no longer reasonably required, we will take appropriate steps to delete or de-identify it, subject to any legal requirement to retain it.

10. Access and correction

You may contact us if you would like to request access to personal information we hold about you or ask us to correct information you believe is inaccurate, incomplete or out of date.

We may need to verify your identity before responding to a request.
